Sales Support – Order Entry

POSITION PURPOSE:  To assist the sales channels in processing of orders and data entry into required systems.  Order Entry position will also be cross trained on quoting, entering and tracking change orders and communication with agents, sales and customers to assist overall in helping to grow and maintain First Communications Agent, Direct Sales & Wholesale Sales Channels and Firstcomm customer base.   Providing telephone and email support- information on order submission and status, entering and tracking MACDs, and resolving a wide variety of sales issues in a positive and professional manner.  Daily expectations include order entry, handling inquiries from all sales channels, track and ensure timely implementation/order entry of new service and existing service changes, and working with Sales Management in providing an all around professional and cooperative office environment.



Essential functions/duties of the position:

% Time Description
75% Order Entry/Processing Orders – Data entry and information gathering from contract data into provisioning system. Review sales orders for adherence to Quality Order Standards and work with Sales Management to improve performance.    Booking and logging orders.  Ensure that rejected orders are fixed to the provisioning standards.
15% Sales Support – Provide sales and management with requested information pertaining to internal sales needs, including sales quotes and paperwork, special pricing requests, sending collateral and presentations, account details, order status, helping to resolve customer and sales inquiries and escalations, and other internal sales requirements as defined by Sales Support Management.  This will include all sales channels operating within the assigned sales office.
5% Interface with Partners  – Attend meetings/trainings and/or Tradeshows.  Interact with Wholesale partners along with management to address needs of Partner.
5% Special Projects  – Participate in training and meetings as required or requested. Handle all special projects as requested by management.


Other responsibilities/accountabilities:


Work with Sales Organization to support sales requirements, including the below:


  • Log orders
  • Scrub orders to make sure all the necessary paperwork and signatures received and verify all the numbers porting in relation to their current carrier records.
  • Pulling customer service records
  • Data Entry from contracts and information gathered into the provisioning system IDI (including all sales rep ID’s, numbers porting, products purchased, etc)
  • Gathering basic configuration information required to process orders.
  • Look up existing account data and billing information to provide information to sales reps
  • Help generate quotes and contracts for sales and agents
  • Be a liaison between sales and the back office.   Provide updates to sales on the order status or notify the back office if any changes have been made to the order.
  • Assist with any issues that may develop when order is with back office being provisioned.


Other Functions Including:

  • Aid in the distribution of information to sales channels.
  • Make recommendations for process improvements related to order entry and customer maintenance.
  • Make recommendations for improvements within the Sales Office.
  • General administrative responsibilities.
  • Other responsibilities as required.

External Candidate

Must be detail oriented and able to multi-task in a fast paced work environment

Industry experience preferred but not required

Prior sales support experience preferred

Must have good knowledge of Microsoft Office (Access, Word and Excel)

Excellent written and verbal skills

Must have transportation

College degree preferred, but not required
